Industrial / Manufacturing Environment

Position Summary:

We are seeking a highly organized and detail-oriented Office Manager with strong Accounts Payable experience to support daily operations in a fast-paced industrial setting. This role is responsible for managing financial transactions, vendor relationships, administrative functions, and ensuring smooth office operations while maintaining accuracy and compliance.

The ideal candidate thrives in a structured, production-driven environment and understands the rhythm of manufacturing operations, vendor billing cycles, and job cost tracking.

Key Responsibilities:

Accounts Payable & Financial Duties:

Process high-volume vendor invoices accurately and timely.
Perform 3-way matching (purchase order, receiving, invoice).
Code invoices to correct general ledger accounts.
Prepare and process weekly check runs and ACH payments.
Reconcile vendor statements and resolve discrepancies.
Maintain accurate AP aging reports.
Assist with month-end close and financial reporting.
Support audits and maintain documentation compliance.

Office Management & Administrative Duties:

Oversee daily office operations in an industrial setting.
Manage office supplies, service contracts, and vendor relationships.
Support payroll processing and timekeeping coordination.
Maintain employee files and onboarding documentation.
Assist leadership with reporting and operational support.
Coordinate with production, purchasing, and warehouse teams.
Ensure compliance with company policies and procedures.

Qualifications:

3+ years of Accounts Payable experience (industrial or manufacturing environment preferred).
2+ years of office management or administrative leadership experience.
Strong understanding of purchase orders, job costing, and inventory systems.
Proficiency in accounting software (QuickBooks, Sage, NetSuite, or similar ERP systems).
Strong Microsoft Excel skills.
High attention to detail and organizational skills.
Ability to multitask and prioritize in a deadline-driven environment.
Professional communication skills.
