Industrial / Manufacturing Environment

Position Summary: 
We are seeking a highly organized and detail-oriented Office Manager with strong Accounts Payable experience to support daily operations in a fast-paced industrial setting. This role is responsible for managing financial transactions, vendor relationships, administrative functions, and ensuring smooth office operations while maintaining accuracy and compliance.

The ideal candidate thrives in a structured, production-driven environment and understands the rhythm of manufacturing operations, vendor billing cycles, and job cost tracking.

Key Responsibilities: 
Accounts Payable & Financial Duties: 
  • Process high-volume vendor invoices accurately and timely.
  • Perform 3-way matching (purchase order, receiving, invoice).
  • Code invoices to correct general ledger accounts.
  • Prepare and process weekly check runs and ACH payments.
  • Reconcile vendor statements and resolve discrepancies.
  • Maintain accurate AP aging reports.
  • Assist with month-end close and financial reporting.
  • Support audits and maintain documentation compliance.

Office Management & Administrative Duties:
  • Oversee daily office operations in an industrial setting.
  • Manage office supplies, service contracts, and vendor relationships.
  • Support payroll processing and timekeeping coordination.
  • Maintain employee files and onboarding documentation.
  • Assist leadership with reporting and operational support.
  • Coordinate with production, purchasing, and warehouse teams.
  • Ensure compliance with company policies and procedures.

Qualifications: 
  • 3+ years of Accounts Payable experience (industrial or manufacturing environment preferred).
  • 2+ years of office management or administrative leadership experience.
  • Strong understanding of purchase orders, job costing, and inventory systems.
  • Proficiency in accounting software (QuickBooks, Sage, NetSuite, or similar ERP systems).
  • Strong Microsoft Excel skills.
  • High attention to detail and organizational skills.
  • Ability to multitask and prioritize in a deadline-driven environment.
  • Professional communication skills.
